1. Introduction
Sane ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and safeguard your personal information when you use the Sane mobile application (available on iOS and Android), our website, and any related services (collectively, the "Service"). By using the Service, you consent to the data practices described in this policy.
2. Information we collect
2.1 Account information
When you create an account, we collect your email address, full name, and timezone. If you sign in through a third-party OAuth provider (such as a social or platform account), we receive the profile information you authorise that provider to share with us (typically your name and email address). We also store an authentication token identifier to keep you signed in securely.
2.2 Mood and wellness data
When you log your mood, we collect the data you provide, including: mood score (1–10 scale), mood label (e.g. "happy", "anxious", "calm"), energy level (1–10), stress level (1–10), triggers you select (such as work, relationships, health, or sleep), activities you report (such as exercise, meditation, or socialising), location context (e.g. home, office, outdoors), and any free-text description or notes you write. You may also back-date entries.
2.3 Voice and audio data
Sane offers real-time voice check-ins powered by AI. When you use this feature, your voice audio is streamed in real time to a third-party AI provider for processing (see Section 6 – Third-party services). Audio recordings are not permanently stored on our servers. The resulting text transcript, along with derived analysis (sentiment classification, detected emotions, key phrases, and a confidence score), is stored as part of your wellness history.
2.4 Goal and habit data
When you create goals, we collect the goal title, motivation, category (e.g. fitness, mindfulness, career, self-care), target type and frequency (daily, weekly, monthly), target date, priority level, and any goal steps you define. We also store progress data such as daily task completions, streaks, and completion timestamps.
2.5 AI-generated insights and memory
To provide personalised prompts and insights, Sane uses AI to extract contextual "memories" from your voice sessions and mood entries. These may include summaries, topics, concerns, and takeaways, each scored for confidence and relevance. Memories are categorised (e.g. relationship, routine, preference, coping strategy, life event) and are used only to personalise your experience. We also generate semantic embeddings of these facts to match relevant follow-up questions and insights.
2.6 User preferences
We store preferences you configure, including reminder time and enabled status, voice check-in enabled status, preferred AI voice, daily goal targets, theme preference (light or dark mode), and onboarding completion status.
2.7 Device and usage data
We collect basic device information (device type, operating system, and app version) and usage data (feature usage frequency and app opens) to improve the Service. We do not collect precise GPS location data.
2.8 Anonymous session data
Certain features may be available without an account. In those cases we may collect session metadata (start and end times) and mood data without associating it with a user identity.
3. How we use your information
We use the information we collect to:
- Provide, operate, and maintain the Service, including mood tracking, voice check-ins, goal tracking, daily insights, and streak calculations.
- Generate personalised insights, pattern summaries, follow-up questions, and goal reflections using AI.
- Apply semantic similarity matching to surface relevant memories and prompts from your past sessions.
- Style your goals with AI-generated visual themes (colours, patterns, mood).
- Send you optional reminders and push notifications (only when you enable them).
- Authenticate your identity and secure your account via third-party OAuth providers.
- Improve and develop the Service through aggregated, anonymised analytics.
- Respond to your support requests and feedback.
We do not sell your personal data. We do not use your journal content, mood data, or voice transcripts to train machine learning models on other users' data.
4. Voice data and AI processing
Sane uses third-party AI services for real-time voice conversations, text generation, text-to-speech, and semantic embeddings. When you initiate a voice check-in:
- Your voice audio is streamed in real time to a third-party AI service, where it is processed for transcription and conversational response.
- The raw audio stream is not stored permanently on our servers or our providers' servers beyond what is required to process the session.
- The resulting text transcript and the full conversation history (your messages and the AI assistant's responses) are stored on our servers.
- We use AI to analyse transcripts and extract sentiment, emotions, key phrases, and contextual memories. These derived insights are stored alongside your wellness data.
- Text-to-speech is used to play back the AI assistant's voice responses during check-ins and for voice previews in settings.
- Semantic embeddings are generated to enable contextual follow-up insights across your sessions.
Our AI providers process voice and text data in accordance with their own privacy policies. We configure the AI with wellness-focused system instructions and do not permit it to provide medical advice.
5. Data storage and security
Your data is stored on secure, cloud-hosted infrastructure. All data is encrypted in transit using TLS. We use industry-standard security measures to protect your information from unauthorised access, alteration, disclosure, or destruction.
Authentication tokens are stored securely on your device using platform-provided secure storage (Keychain on iOS, encrypted SharedPreferences on Android).
While no system is perfectly secure, we work to protect your data to the best of our ability and regularly review our security practices.
6. Third-party services
We use third-party services to operate Sane. Each provider processes data in accordance with their own privacy policies. These services fall into the following categories:
- AI and voice processing – Powers real-time voice check-ins, text-based analysis and insight generation, text-to-speech playback, and semantic embeddings for contextual memory. We send mood transcripts, conversation history, and goal descriptions to this provider for processing.
- Authentication – Provides user-account management and OAuth sign-in. Receives your email address, name, and OAuth tokens.
- Cloud database – Provides our database and real-time data synchronisation. All user data stored in our Service resides on this provider's infrastructure.
- Mobile framework – Provides the application runtime and may process push notification delivery tokens.
We do not share your journal content, mood data, or voice transcripts with advertisers or data brokers. Third-party providers only receive the minimum data necessary to perform their respective services.
7. Data retention
We retain your personal data for as long as your account is active. Mood logs, voice transcripts, goal data, and AI-generated insights are kept indefinitely as part of your wellness history unless you delete them or request account deletion.
AI-generated memory facts are subject to temporal relevance decay — older facts receive lower relevance scores over time, though they are not automatically deleted.
When you delete your account, we will delete all your personal data from our active systems within 30 days. Some data may persist in encrypted backups for a limited time before being purged.
8. Your rights
You have the right to:
- Access your personal data and review the information we hold about you.
- Correct inaccurate or incomplete data through the app settings.
- Delete your account and all associated data through the app settings or by contacting us.
- Export a copy of your data by contacting us.
- Withdraw consent for optional processing (such as disabling voice check-ins or push notifications) at any time through the app settings.
- Object to certain processing activities where we rely on legitimate interests.
To exercise any of these rights, you can use the in-app settings or contact us at hello@usesane.com. We will respond to your request within 30 days.
9. Cookies and local storage
The Sane website may use essential cookies to keep you signed in and remember your preferences (such as theme selection). We do not use advertising, analytics, or tracking cookies. The mobile app uses secure on-device storage (not cookies) to persist authentication tokens and preferences.
10. Push notifications
If you enable push notifications, we store a device token to deliver reminders and check-in prompts. You can disable notifications at any time through the app settings or your device's notification settings. We do not use push notifications for marketing or advertising purposes.
11. Children's privacy
Sane is not intended for children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with their data, please contact us and we will promptly delete it.
12. International data transfers
Your data may be processed in countries other than your own. Our third-party service providers may store and process data in the United States or other jurisdictions. By using the Service, you consent to the transfer of your data to these locations. We take steps to ensure your data is treated securely and in accordance with this policy regardless of where it is processed.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. For material changes, we will notify you through the app or by email. We encourage you to review this page periodically.
